Keeping personal information safe and secure is a top priority for us. To that end, we never give, sell or exchange personal or confidential information about any person to any third party except as required by law, unless you authorise us to do so.
Whilst the data we collect and what we use it for have not changed, the law has, so this policy has been updated in line with the GDPR (General Data Protection Regulation) from the 25th May 2018.
WHAT PERSONAL DATA DO WE COLLECT?
We collect personal data in various ways, depending on the person and transaction involved.
If visitors to our web site would like us to contact them, they may optionally enter their name, email address and telephone number details into a ‘Contact Us’ form.
People that contact us directly by telephone or email choose the data they provide, depending on their reason for the contact.
Our customers give us data that helps us to achieve our mutual objectives, such as giving them access to our software and services.
In every case, personal data is always provided voluntarily and with the person’s full consent.
WHY DO WE COLLECT PERSONAL DATA AND HOW DO WE USE IT?
Our only reason for collecting personal data is to respond appropriately and effectively to users’ requests. An example of this is to provide information that web site visitors have requested about our products and services.
For licencees using our software, personal data is collected as needed to provide the functionality of the module(s) in question. For example, the Catalogue Manager module collects personal data to facilitate the delivery of goods and services to the relevant person and location.
We collect and process data strictly in line with the GDPR. Our legal basis for doing this is what the GDPR defines as ‘legitimate interests’. When you make contact via our web site, by email or by phone call, we have a legitimate interest in responding to your enquiry.
When a user enters personal data into our software, we have a legitimate interest in it collecting and processing that to provide the functionality it is designed to deliver.

Our GDPR representative is Chris Hopwood, Managing Director, and our Data Protection Officer is James Evason, Technical Director.
The recipients of personal data are strictly limited to Marketingunity, and in relation to transactions processed by our software, to our licencees and their suppliers.
The retention period for personal data is limited to that required for us to honour our obligations.
In respect of any data for which we are a controller (the GDPR definition states that ‘A controller determines the purposes and means of processing personal data), any person about whom we hold personal data may ask us to tell them what data we hold, and amend or delete it at any time by the contact methods above.
Please note that for any data collected by our software, we are not a data controller. In some cases we are a processor (the GDPR definition states that ‘A processor is responsible for processing personal data on behalf of a controller’) in which case the controller should be contacted. We will then act on their instructions where relevant.
